Fill Open Shifts Using Call List
This job aid explains how you can work with the call list feature to ensure the right staff coverage.
About the Call List
- The Call List enables you to easily identify the best employee to fill an open shift. Based on the criteria in the procedure set that has been defined in the Call List, Workforce Dimensions automatically generates a list of qualified employees that are available to work the shift.
- You can then choose an employee from the list and assign the shift directly to them from the Call List.
To access the call list:
- Access the Schedule Planner and select Tools, and then select Call List.
- Alternatively, you can right-click on an Open Shift and select Call List.
- From here, you can select an open shift and then pick a procedure set to run to generate the list of eligible employees. Before choosing an employee from the list, you can select Back to Shift List to display and work with the open shifts calendar view.
- An open shift is indicated by a red square in the calendar. Multiple open shifts on a certain day are indicated by three dots displayed below the red square.
View shift details
- To view more details for the shift you want to fill, select the, select the blue down arrow icon next to the shift, and then select More Details.
- Information will be displayed, such as the date, time, job, and location. You can also see a list of employees that are already assigned to the shift, which may be a consideration for deciding which employee to select to fill the shift.
Fill an open shift using the call list (desktop):
- From the Call List slider, simply select an open shift, or click the blue down arrow and select Find People.
- Select a Procedure Set from the list available. This list will vary depending on your setup.
- The system will search for and display a list of employees that are eligible to fill the shift based on the procedure set selected. If there are no available employees listed, or you want to choose a different filter, click Procedure Sets and select another procedure set.
- Select the blue down arrow next to each employee and then select View Details to see more information about the employee, such as their home location, any skills and certifications, seniority date, standard weekly hours, and scheduled hours. From here, you also have the option to click Assign to assign the employee to the open shift.
- You will see a confirmation message at the top of the Call List slider once assigned successfully.
