View and Create Open Shifts (Manually)

An open shift is a shift that is scheduled for a job, date, and time, but is not assigned to an individual. You can create open shifts as placeholders for shifts that you need to fill to meet your scheduling requirements.

View open shifts

In order to view open shifts, you must be viewing All Home Locations or selected locations. Open shifts also must be selected from the Show/Hide list.

Open shifts appear above any employees in the Schedule.

The total number of open shifts, for the time period you are viewing, appears next to Open Shifts. The numbers under each day represent the amount of open shifts for that day. You can expand the list to view jobs and the times of the open shifts. You will need to use the expanded view to assign an open shift.

Create a shift with all options available

  1. On the Open Shifts row, right-click a date cell in the schedule.
  2. Click Add Shift  in the glance. The Add Shift panel appears.
  3. Confirm that Unassigned appears in the employee list.
  4. Enter a Start Time.
  5. Enter an End Time.
  6. Select Transfer to display the transfer list. If the transfer you need does not appear on the menu, select More to define the transfer. The Transfer panel appears.
  7. Select the new transfer you need by selecting Add Business Structure and then select the required location(s), and job.
  8. Select Ok.
  9. Select Apply.
  10. Select Apply.
  11. Save when finished.

Create a shift by typing (table view only)

  1. Confirm that Open Shifts is expanded to view locations and jobs.
  2. Select a cell in the job row and enter one of the following:
    • The name of a shift template. For example, if your site has a shift template called Day12, click the cell and type "Day12" to create an open shift.
    • A start time and an end time separated by a hyphen. Use standard time-of-day format. For example, click the cell and type "8a-4p" to create an open shift from 8:00 in the morning to 4:00 in the afternoon.

Create a shift from a template

  1. Confirm that Open Shifts is expanded to view locations and jobs.
  2. Select Quick Actions to expand the Quick Actions menu.
  3. Click Insert Shift Template .
  4. Select the shift template from the list. You can also use the Search box to locate the appropriate shift template.
  5. Select the dates cells for the job(s) you need to create open shifts.
  6. Click Save when finished.

Alternate methods to create open shifts

  • Click a cell that has an open shift previously defined, then press Ctrl-C.
  • Select the cell you are defining, then press Ctrl-V. You can repeat the Ctrl-V command to create additional copies.
  • Right-click a cell and select Copy, then move the cursor to the cell you are defining, right-click and select Paste. You can repeat the Paste command to create additional copies.
  • Unassign an employee from a shift using the Unassign Quick Actions.
  • Replace an employee's shift with a pay code using Add Paycode from the employee glance and making sure Create Open Shift is selected.
